The new Uboss Sales Ledger Module streamlines the process between invoice creation and invoice payment and reconciliation. It builds upon the already well established Uboss Billing and Invoicing module that allows for zero touch billing.
Unlike many other systems where service provision, billing and Sales Ledger are undertaken in multiple systems, Uboss allows all these processes to be completed in one portal with the obvious benefits this offers around fully integrated data sets.
The simultaneous introduction of the first payment gateway integration using Stripe allows for automation of payments including Direct Debit, Credit card and BACS (release Sep24). The removal of manual processing, along with Customer self-serve access to all account history, significantly reduces the overhead to the average MSP in support back-office services. Sales Ledger included within Uboss
Sales Ledger included within Uboss so all financial detail for any customer is contained in one system, all managed by a single set of roles and permissions to ensure relevant users have access.
Multiple Invoice and Credits
The new Sales Ledger module heralds the ability to now create multiple invoice and credit notes during the month. At any point when a payment run is to be processed Uboss will automatically calculate the payment to be taken based on collection and payment dates along with any credits or overpayments already received.
Payment Gateway Module
Going hand in hand with the Sales Ledger introduction is our first payment Gateway launch using Stripe. The VanillaIP Partner contracts directly with Stripe to create an account; this account is then API enabled within Uboss. This module is optional but we do believe most VIP partners will take this module as it considerably enhances the efficiency of account management and receivables collection.
Auto Reconciliations
For many MSP’s the process of collecting and reconciling payments is a fully, or at best part, manual process, which apart from the labour costs is also more prone to error. With Uboss all direct debits and credit card payments are automatically reconciled; during Q3 2024 auto reconciliation of BACS payments will also be available. In addition, at any stage, a customer can choose to initiate a credit card payment.
Enablement
Where a Partner is already using Uboss billing, the addition of the new modules is a simple and quick process. In some cases, even existing customer direct debits can be transferred across to your new Stripe account.
Charges
Uboss billing and invoice charges start at 1.5% of Billing value, if including the Stripe module this is charged at .75% in addition to a small monthly recurring charge.
Reporting & Statement
The Uboss Sales Ledger includes your standard debt chase emails along with the ability to send statements as per the normal account collection process.
Service & Call Barring
The Uboss credit lock and account suspension option works in conjunction with the new sales ledger, providing the “tools” to ensure accounts are paid in a timely fashion.
Accounting Systems Considerations and Integration
Initial Uboss Sales Ledger has integration with both Sage and Xero. The types of integration do differ between the two and this -depends where the detail transaction details are held which are required for VAT reconciliation etc.
- Sage – When using Sage, the Uboss export file includes all transactions including Invoice, Credit and Receipt.
- Xero – With Xero, Uboss only sends a summary file for each of the categories – Sales, Credits and Receipts. This does provide an additional, indirect benefit: Xero is typically priced based on the number of transactions processed. By holding the detailed transaction in Uboss it allows for larger businesses to use Xero where transaction volumes may have caused a problem previously.
The main company accounting system is still required to manage Purchases, P&L, Balance Sheet and other high level account processes. With the new Uboss Sales Ledger both sales transactions and sales receipts/bank reconciliations are dealt .
